CONDITIONS OF ENTRY

All current exhibiting financial members of Central Coast Art Society Inc (CCAS) are invited to exhibit.

Late Entry Forms will NOT be accepted

FINANCIAL INFORMATION

Entry Fee: $15 per artwork.

  • Maximum of three (3) artworks allowed per artist across Categories 1 - 4. Entry Fee is non-refundable.
  • Payments must be made BEFORE the closing date for entries.
  • There is no entry fee for non-category items.
  • To submit for sale non-category art, the artist must have at least one exhibit in Category 1,2,3,4. Not-for-sale sketch books do not need to meet this requirement.

Insurance:

Although CCAS will exercise all care with artworks, insurance is the artist’s responsibility. CCAS will not be liable for any loss or breakages.

Commission:

20% of sale price on all artworks including framed, stretched canvases, sculptures, matted unframed, cards and functional artwork.

EXHIBITION PROTOCOL

Exhibition Entry:

Late entries will not be accepted.

Category Restriction:

  • The same artwork cannot be entered in more than one category.
  • All exhibits must be manageable by one person (for positioning, lifting, hanging or taking down).

Delivery:

9.30 -11am, Thursday 15th of January 2026 to Community Gallery.

Collection of Unsold Artwork:

3.30pm - 5.00pm, Wednesday 28th of January 2026. If you are unable to collect your works on time, please authorise in writing an alternate person to collect for you.

Roster:

Each artist must do at least two roster shifts during the exhibition. If an exemption is required, please contact Exhibition Coordinator before the start of the exhibition otherwise shifts will be nominated for you. register your shifts here:

Judging:

Will occur on Thursday 15th of January 2026 and results announced at the opening.

  • Judges’ decision is final - no correspondence will be entered into.
  • Winners will be invited to enter the Masters’ Section in the subsequent year’s Summer Exhibition and Awards.
  • Masters’ Section: Winners of the previous Summer Art Awards Category 1-4 are invited to be Masters for the following Summer Exhibition. They will be offered space on the feature wall and provide judging expertise. Entry in the Masters’ section is by invitation only and artworks will not be judged - Masters are not eligible to receive prizes at the Summer Exhibition and Awards.

ARTWORK SPECIFICATIONS

All Artworks in Categories 1,2,3 and 4:

  • All exhibits must attach the supplied label on the back with: name, title, and barcode.
  • Only the artist’s original work and design will be accepted. DO NOT submit art done in workshops, copied from other artists, or including commercial kits of any sort.
  • No AI used and no artworks may infringe on copyright.
  • Diptych and triptych artworks are classed as two or three separate artworks respectively.

Size Limit: Category 1, 2 and 3 (Other than 3D and sculpture)

  • Maximum size of artwork including frame: 105cm x 105cm or (40" x 40").

Size Limit: Category 4: Small Artwork

  • Maximum size of artwork including frame: 30cm x 36cm (12” x 14”).

Items Not Accepted:

  • Over-sized or non-compliant artworks
  • Wet paintings
  • Any artwork regarded as offensive.

PRESENTATION GUIDELINES

All Hung Artworks

Artwork is to comply with the following guidelines and displayed at the discretion of the committee.

  • Framed artwork, hanging textiles and canvases to be strung with strong cord or wire with flush attachments including D-Rings (min. size 1cm), screw eyes or other protruding material will not be accepted.
  • Wire ends to be taped.
  • Stringing material needs to be attached to the frame 1/3 from the top and not visible from the front when hung.

Framed Artworks

  • Framing to be of professional quality, clean and in good condition front and back.
  • Pastels and watercolour works are to be framed under glass. Glass should be clean inside and out.
  • Mats or mounts must be clean and unmarked.
  • Works on paper should be sealed properly on the back with appropriate tape.

Stretched Canvases

  • Thin edged canvases must be framed. Thick edge (25mm or more) canvases require no frame.
  • Canvases are to be stapled to the frame at the back, (gallery canvas) and not on the side.
  • Edges to be treated as part of the painting or neat, clean and undamaged.
  • Stretched canvases are not permissible in matted artworks section.

Sculpture and 3D works: Category 3 Only

  • Sculptures need to be securely free standing and secure on a plinth.
  • Must fit on a 30cm x 30cm plinth with no overhang.

NON-CATEGORY ITEMS
(Excluding not-for-sale, Paint-Out and Urban Sketchbooks)

Entry is at discretion of the committee. If you are in doubt, contact the committee prior to the exhibition.

  • Any artist who sells all items may only put in new ones or replace an existing one by approval of the exhibition coordinator. No artist may have more than 25 Non-Category Items on display at any time.

Unframed Matted Artworks

  • Will be included in the online art exhibition. As such they must be submitted online with the Category 1-4 items. They will not be judged but will be sold online. There is no charge for submitting them but there is a restriction of 5 Unframed Matted Artworks per artist.
  • Size up to a quarter sheet or 14” x 10” (35.6cm x 25.4cm) max, excluding the mat board.
  • Unframed matted art must be wrapped in cellophane and sealed so they can be handled. Package to include a mat and supportive backboard.

Cards

  • Cards must be wrapped in cellophane and sealed so they can be safely handled.
  • Display boxes and stands will be provided by CCAS for the Exhibition. Please do not bring other card stands or boxes.

Functional Art

  • Functional Art that you have not submitted at prior exhibitions must be approved by the committee before the exhibition.
  • Photos and an explanation of the artwork is to accompany a request for approval for inclusion in the exhibition.
  • Functional Art must be entirely the work of the artist (no AI assisted, or commercial kits permitted).
  • If an artist provides a stand, it must be professional quality. Oversized stands or household storage boxes will NOT be accepted.

Virtual Online Exhibition

  • All artworks in Categories 1 to 4 plus unframed matted artworks will be included in the online Central Coast Art Exhibition.

  • The online exhibition will go online 24 hours a day for viewing and sale from 10am Monday 19 January 2026 and artworks will remain on sale until Sunday 1st March 2026 offering a 6 week sales window.
  • Whilst the physical exhibition is open a "Click and Collect" option will be available to purchasers.  Once the physical exhibition closes mail only will be the option but artists may contact their buyers to determine choices of delivery
  • Artworks will be updated with judging results before going live
  • Artworks sold at the physical exhibition will be updated online and those sold online will be marked accordingly at the physical exhibitions.
  • Commissions and bank charges will apply to online sales.
